BAND MEMBER PRIVACY POLICY

Shotts and Dykehead Caledonia Pipe Band take your privacy very seriously, this Band Member Privacy Statement sets out what information we collect, why we collect it and for how long we retain and use your personal data. It also explains your legal rights as a Data Subject and how to exercise them.

What We Need From You

When you join Shotts and Dykehead Caledonia Pipe Band as a playing member or Committee Member, we will ask you for the following personal information:

Contact details – name, address, email address, landline phone number and mobile phone number.

We need to collect our members’ personal information so that we can manage your relationship with us. We may use our members’ personal information to:

Provide you with member services, including registration with third party organisations (such as RSPBA), supply you with programme of practices and competitions, carry out booking of accommodation and travel and other activities.

Organise band engagements and other activities.

We also process our members’ personal information in pursuit of our legitimate interests to:

Provide you with news and updates about the activity of the band, opportunities to get involved in band events.

Respond to and investigate your questions, comments, support needs, complaints and concerns.

We are under a legal obligation to process certain personal information relating to our members for the purposes of complying with obligations under The UK Data Protection Act 1998 and The General Data Protection Regulation (GDPR) as implemented on 25th May 2018

 

Who We Share Your Personal Information With

Member’s personal information is used by Shotts and Dykehead Caledonia Pipe Band and it is only shared with the Royal Scottish Pipe Band Association for Registration purposed to allow you to legitimately compete with the band. From time to time, your personal information may be shared with travel organisations and/or hotels to provide you with travel and accommodation.

How Do We Protect Your Personal Information

Your personal information is accessed only for the purposes set out above. It is stored by the band electronically in password protected documents and or the official band Website.

How Long Do We Keep Your Personal Information

We only keep your personal information for as long as necessary to provide you with membership services as stated above. Data is renewed annually. We will review and delete your personal information where you have not renewed your membership with us.

You Have A Right To:

Change your communication preferences or restrict the processing of your personal data for specific purposes.

Request that we correct your personal data if you believe it is inaccurate or incomplete. Request that we delete your personal information.

Access the personal data that we hold about you through a “subject access request”.
